Job overview

You will be required to provide a fully comprehensive administration and project support service to the Employee Relations Team and Empactis Absence Management System Project.   The role provides support to the Employee Relations Advice line as the first point of contact for telephone, face to face and email queries from employees, line managers and staff side colleagues.  A level 3 Human Resources qualification or Diploma in Business Administration or equivalent qualification or experience is essential, as well as experience in providing a full administrative service to formal meetings and committees, experience of Human Resources issues within a large service organisation and a basic awareness of HR policies and procedures.

Main duties of the job

To assist the Admin and Empactis Manager in the development and preparation of the Empactis project and the delivery of specific projects/works streams.  To assist with the production of key reports and presentations on behalf of the Employee Relations Team, Head of Employee Relations and Deputy Director of Human Resources, particularly in relation to the Absence Management system, Empactis.  To create a monthly cycle of data validation and cleansing, analysis and reporting to support the work of the HR Advisors on absence management and ER case management.  To provide general administrative support to the team including filing, photocopying, collation of information, mail distribution, preparation of training materials, organising room bookings for meetings for the Employee Relations team and any other appropriate duties.

Essential criteria
  • Certificate in Personnel Practice (CPP) or HNC / Diploma in Business Administration or equivalent qualification / experience
  • RSA III or equivalent qualification / experience
Desirable criteria
  • ECDL or any further office/ admin/ computer skills training or qualification
  • Project administration / support training or qualification.


Essential criteria
  • Relevant experience in a similar HR support / business administration / secretarial role including experience of organising meetings and maintaining an (electronic) diary for others.
  • Experience in providing a full administrative service to formal meetings and committees; including minute taking.
  • Experience of Human Resources issues within a large service organisation including Workforce re-design,Navigating Change,Organisational development, Recruitment
  • Experience of Computerised personnel systems, Workforce information, Employee Relations issues , Attendance management issues
Desirable criteria
  • Previous experience of working in an HR department or HR environment.
  • Previous experience of Organisational Change.
  • Experience of working in a project team.

Skills, ability and knowledge

Essential criteria
  • Basic to intermediate awareness of HR policies and procedures and understanding of terms and conditions of employment
  • Intermediate skills in using Word, Excel, Power Point, Microsoft Outlook and good keyboard skills showing accuracy.
  • Ability to and experience of planning and prioritising work generated by self and others, managing competing demands and meeting deadlines.
  • Effective communication skills both written and verbal.
  • Proven numerical acumen / Ability to request, collect, collate and analyse information.
  • Proven track record for working with confidential and sensitive information.
Desirable criteria
  • Audio typing skills and/or Experience of using social media technologies in a work environment.
  • Basic working knowledge of Employment legislation, including TUPE Regulations
